Quoting and Billing

What quoting and billing tools do, when an MSP needs them, what to look for and what to ask before you sign.

What Quoting and Billing Tools Are

Written by MSP Outpost.

In Short

Quoting tools build the proposal a client signs, with hardware and license pricing pulled from your distributors, and billing reconciliation tools check that what you invoice matches what your vendors charge you. Most PSAs can do basic quotes and invoices already. These tools exist for when that is not enough.

What It Does

  • Quotes. Proposals built from templates, with services, hardware and licenses on one document.
  • Distributor pricing. Live cost and stock pulled from your distributors, so the quote reflects today's price.
  • E-signature. The client accepts and signs online, and the signed quote is kept as the record.
  • PSA handoff. An accepted quote becomes an opportunity, an order, a project or a recurring agreement in the PSA without retyping.
  • Usage reconciliation. Seat and license counts from your vendors compared against what each client is billed, so unbilled seats are caught.

When You Need One

Starting OutOne or two technicians

Most MSPs do not need a separate tool yet. The quote and invoice features in your PSA or accounting system are enough for a handful of clients.

GrowingThree to ten technicians

Worth it once quotes go out every week or license counts drift between what you pay and what you bill. A reconciliation tool can pay for itself in the first unbilled seats it finds.

EstablishedTen technicians and up

A sales team needs consistent templates, approvals and a quote that flows straight into the PSA. Billing reconciliation across every vendor becomes routine, not a monthly spreadsheet.

What to Look For

Must Have

  • PSA Integration
  • Distributor Price Feeds
  • Quote Templates
  • Electronic Signature
  • Recurring Line Items

Worth Having

  • Vendor Usage Reconciliation
  • Approval Workflows
  • Client Self-Service Ordering
  • Quote View Tracking
  • Payment Collection

How It Is Priced

Pricing varies more than in most categories: some charge a flat monthly fee, some per user, and some on usage or prepaid credits. Watch for credit minimums, twelve month terms, charges per distributor or integration, and tiers that hold back the PSA sync you actually need.

Switching

Leaving a quoting tool is moderate work: templates have to be rebuilt, but past quotes can usually live on as PDFs. Before you sign, settle whether accepted quotes and their history export, and how the tool handles products and agreements that already exist in your PSA.

Questions to Ask a Vendor

  1. Which distributors do you support, and is each one an extra charge?
  2. What exactly is created in my PSA when a client signs, and can I choose?
  3. How do credits or usage charges work, and do unused ones expire?
  4. Can I export every quote with its line items, not only the PDF?
  5. Which vendors can you reconcile usage against, and how often do you pull their counts?
  6. What happens to templates and signed quotes if I cancel?

Side by Side

The facts each vendor publishes, in one table. Ask the vendor before you rely on one.
